At Incubeta, we're committed to respecting your privacy. This Privacy Notice is designed to describe to you: 1. What information we collect during our application and recruitment process and why we collect it;

2. How we use that information;

3. The lawful basis for processing; and

4.Your rights.

This policy applies to information you share with any Incubeta Group company during our recruitment process.

What Data do we collect:

Your name, address, email address, telephone number and other contact information;
Your resume or CV, cover letter, previous and/or relevant work experience or other experience, education, transcripts, or other information you provide to us in support of an application and/or the application and recruitment process;
Details of the type of employment you are or may be looking for, current and/or desired salary and other terms relating to compensation and benefits packages, willingness to relocate, or other job preferences;
Your information from publicly available sources, including online, that we believe is relevant to your application or a potential future application (e.g. your LinkedIn profile); and
Any other information shared by you as part of your application with us.

How do we collect your Data:

First of all, we use Breezy HR, a web-based hiring platform, to assist in our recruiting process. As part of that process Breezy HR will be processing the personal information you've shared in accordance with Incubeta’s instructions.
You directly provide Incubeta and Breezy HR with most of the data we collect when you apply for a job posted by us.
We also work with other hiring platforms such as LinkedIn. In that case, the data is collected via the relevant third party hiring platform you used.
In some cases you might share data directly with us by email or by telephone.

How we use the data collected

The information we collect/you provide is used to determine whether or not you are a good fit for current and future roles at our company. This includes:
Assessing your skills, qualifications and interests against our career opportunities;
Verifying your information and carrying out reference checks and/or conducting background checks (where applicable) if you are offered a job;
Communications with you about the recruitment process and/or your application(s), including, in appropriate cases, informing you of other potential career opportunities at Incubeta; and
Complying with applicable laws, regulations, legal processes or enforceable governmental requests.

Lawful basis for processing:

We will process your data on at least one of the following lawful bases:

Consent: When you provide us with your clear consent to process your personal data for a specific purpose, which is in accordance with this Privacy Notice.
Contract: The processing is necessary based on a contract you entered with any of Incubeta’s Group companies, or because Incubeta and/or its Group companies have asked you to take specific steps before entering into a contract. This would be applicable if your recruitment process is successful and you enter into an employment agreement with an Incubeta entity.
Legitimate Interests: The processing is necessary for your legitimate interests or the legitimate interests of a third party, unless there is a good reason to protect your personal information which overrides those legitimate interests.

Rights of Third Parties:

Incubeta operates globally, you agree that your information might be shared with our affiliates and or subsidiaries in relation to the same purpose described above.
You also agree that service providers may have access to your data. Incubeta uses these service providers to perform some of the services described above, including third party recruitment tools and for the purpose of verification checks. These service providers may be located outside the country in which you live or the country where the position you have applied for is located.
You also agree that we might also share your data with other third parties if we have your consent, for example to contact your references.
Lastly, you agree that we might share your data with law agencies.

Security & Storage limitation:

Incubeta and any third party processor shall ensure that they have the appropriate security measures in place to protect your data.

Additionally, we will store your data securely in accordance with this Privacy Notice and for up to twenty four (24) months and if it turns out we'd like to keep it around longer, we'll reach out to you for consent first.

Individual Rights:

If at any point you'd like us to remove the information we've collected or share it with you (the right to erasure), just let us know, and in any case you could email us at talentuk@incubeta.com. Moreover, Incubeta would like to ensure that you are fully aware of your data protection rights (the right to be informed, the right of access, the right to rectification, the right to restrict processing, the right to data portability, the right to object, and the rights related to automated decision making including profiling).

International transfers:

As Incubeta operates globally, this means that your data may be stored and processed outside of the country or region where it was originally collected. Where third parties have access to your information as described above, they might process that data anywhere they have their data centers or where their service providers are based. You therefore agree to these transfers.

Regardless where your information is processed, Incubeta ensures that it is done in accordance with the applicable data protection laws. We rely on the European Commission Model Contract Clauses for these data transfers.

Changes to our Privacy Policy:

Both Incubeta and Breezy HR keep their Privacy Policy under regular review and place any updates on their websites.
